General statement of duties: Performs administrative, accounting, and support work for AppleTree Educational Center and The Club of Sierra County.

TYPICAL DUTIES PERFORMED

· Maintains financial and accounting records, permit information, etc.

· Provides accurate financial statements for board review.

· Determines possible solutions to problems and presents alternatives for review by the Executive Director.

· Researches information for projects, programs, etc., as needed as it pertains to finances.

· Attends meetings and conferences on a variety of relevant topics.

· Assists the annual bookkeeping auditor with annual financial statements including making all year end journal entries.

· Sets up and operates office computer systems for accounting, financial reporting, and payroll.

· Conducts year-end closing of accounts; verifies accuracy of records.

· Calculates, records, and mails bills for services; review billings for collection.

· Makes payment arrangements with parents and sends disenrollment notices in a timely manner when necessary.

· Maintains record of child care contracts and payments. Contacts parents when contract is close to ending to ensure seamless coverage.

· Answers questions and responds to complaints and discrepancies with bills.

· Maintains updated customer account information, records cash receipts and makes bank deposits in a timely manner.

· Provides annual record of all payments for parents at year end.

· Processes all accounts payable and meets with vendors when necessary. Collects taxing information (W-9s) for any vendors that will receive 1099s. Ensures that purchases are approved; receipts are provided, and expenses are billed to the appropriate grants.

· Reviews and audits time cards and processes payroll checks.

· Completes and submits forms for all payroll taxes and ensures compliance with all government agencies.

· Processes W-2s and 1099s annually.

· Reconciles bank statements and gets approval from Executive Director and Board Treasurer.

· Performs cost analysis on equipment and processes to determine the most effective and economical method.

· Maintains records of all fixed assets. Calculates and records semi-annual depreciation.

· Makes all journal entries and maintains journal entry binder for auditor.

· Bills grant expenses in accordance with each grant’s requirement and budget. Ensures that all expenses and grant requests for reimbursement are well

documented and submitted in a timely manner. Provides information for state grant auditors.

· Works with Executive Director to prepare annual budget for board approval. Assists with preparation of grant budgets and ensures compliance with each.

· Works as the contact for insurance carriers. Handles the administration of any worker’s comp claims.

· Performs other duties as needed or as delegated.

· Assists and approves purchases for supplies, etc to eliminate waste and keep expenditures as low as possible while maintaining quality programming.

· Makes travel arrangements as required.

KNOWLEDGE, SKILLS AND ABILITIES

· Considerable knowledge of accounting and billing practices and procedures.

· Considerable knowledge of modern office practices, procedures, and equipment including use of a personal computer.

· Considerable ability to type information into an automated system with speed and accuracy.

· Considerable ability to communicate effectively with staff and general public.

· Considerable ability to perform mathematical calculations and maintain accurate records.

· Considerable ability to prioritize work, to research files, and to problem solve.

SALARY AND BENEFITS

· Salary $15-$22/hour based on experience

· Full time employees receive half off childcare and private school tuition.

· Student loan deferment. Student loan forgiveness may also be available depending on your specific loan.

· Company scholarships for tuition and books are available for continuing education. (Negotiated at time of hire.)

· Housing may be available. (Lightly furnished apartment with utilities and Wi-Fi included.)

Requirements

MINIMUM QUALIFICATIONS

· Bachelor’s degree in finance, accounting, or related field.

· Three to five years of general ledger accounting and/or bookkeeping experience.

· Bachelor’s degree requirement may be substituted for additional years of experience and relevant certifications.
